This week has been a whirlwind of activity with the beginning of the 62010 studio experience. This week Team Flex formed itself and is currently comprised of the following members and corresponding roles:

In forming our team we have begun designing our team web site and worked on gather the necessary contact information and establishing channels of communication for the Team.

On Monday August 22, 2005 Steve Ferguson and JP Murrell of the team met with Dr. Julie Moore of Alpha Phi Omega Service Fraternity about a potential project opportunity. During this meeting the following areas were discussed:

Scope of the project
Current needs assessment
Available content
Direction of the organization with the proposed project
General direction of the project

Team Flex received an abundant amount of information from Dr. Moore and in this weeks Thursday meeting we are going to review the content and scope as a team and come to a decision on whether this is a viable project, and in what direction we want to take this project and what our scope should be.

Team Flex is off to a great start. After meeting on Thursday, the team has been working hard to get individual tasks completed. Thursday, August 25, 2005 Team Flex conducted the first meeting and the following tasks were completed:

Reviewed content of the project and first client meeting
Scope of the Project
Scheduled team meeting for Mon. @ 3.45
Developed the scope statement
Identified constraints
Identified target learner
Gave responsibility of the 15/5s to Camille

Each member took different responsibilities away from the meeting. Haley worked on document preparation, the style sheet, the profile chart for the website, and typed the minutes to our last meeting. Following Thursdays meeting the team decided to look at scope statement individually for review, additions, deletions, and editing. The document started with Haley and was to end on Steve by Monday’s meeting. The scope statement was to center around the Level 0 training of alumni volunteers for APO. Haley is also working on registering the Horizon Wimba accounts so that the team will be able to meet online. Bettina has been responsible for creating our website and has completed the team profile on the project management site. She is still working on the time log for the site. JP our instructional designer has been busy reviewing the content received from our client, Dr. Julie Moore of Alpha Phi Omega. Camille, the evaluator, has begun to look at various dates that APO will be in conferences so that evaluation can be conducted during the creation of the product. She also completed the 15/5 for the week.

Plans for the Upcoming Week

1. Meeting with Dr. Moore at 3:00 on Monday for approval of the proposal.
2. Group Meeting beginning at 3:45 on Monday
3. Group Meeting on Thursday at 4:30
4. If every thing goes well in the meeting with the client, our group will begin analyzing the group project.
5. Discuss the content and design of the modules that will be created.

Many things happened this week as Team Flex moved into analysis planning. As planned, Team Flex met twice within the week to finish up details surrounding the timeline of the project and begin the planning of the first phase. The following tasks were completed this week by Team Flex:

Monday Team Flex worked out a rough draft timeline for the entire project that corresponded with the actual due dates for the class. Thursday, the timeline was updated and revised.

Our website was updated in the week to show “project news,” “project details,” and “client information.” Our team also took pictures in Thursday’s meeting to post on the website. A project update will be posted each week on the website for members and consultants to find the agenda and meeting schedules.

One of our major tasks involved generating a list resources so that the client could review what was needed. The team has let Julie Moore know that we need these resources within the given time frame. Our resource list was created in Thursday’s meeting, but was a work in progress through the weekend.

Another major task for the week was to finish the scope document. This document was completed and will be signed off in the next week’s period.

As a team, we divided the analysis report into various individual tasks and each of us have worked on these parts throughout the week. A rough draft of each part is expected on Thursday, September 8, 2005.

The consultants joined in on our meeting on Thursday and were given an idea of where they would be requested to help. Each consultant was also given time to ask questions and express any concerns that they may have.

This week Team Flex completed the scope document and it will be formatted and placed on the web by Thursday. After meeting, team flex reviewed each of the parts of the analysis phase. As mentioned last week, the team decided to break this phase into parts so that each member would have a part to complete. The break down is as follows: Needs Analysis, Content Analysis, Learner Analysis, Resource/Cost, and Delivery Options. These will be due to the project manager on Thursday for a week of revisions and final sign offs. The team has also notified Julie Moore about the various resources that we will be needing as soon as possible.

As a team we decided to use the Seeles/Glasgow Model for our instructional design.

Monday, Team Flex met to regroup and make sure everyone was moving along on each of their parts in the analysis phase.

Thanks to the help of a consultant our time log is now active and members are recording their times as they spend them each week.

This past week Team Flex met to revise work that has been done on the analysis report parts. Before deciding on how editing would be done we had to get a few things covered. Monday, September 12, 2005 Team Flex had an online meeting over Horizon Wimba. We were all in agreement that this meeting did not go well because of the broken communication. Horizon also takes a lot of planning ahead of time to keep the meeting running smoothly. Also, as a team we were reminded that the time logs are working and each member should remember to log time as they work on the different parts.

As far as editing the documents, we have set up a peer review so that at least one other team member will closely review the work of another team member. Every rough draft will go through the designated peer and then through Haley for formatting check. Other team members are more than welcome to add feedback. We just wanted to make sure at least one other person has reviewed the work of a peer. During the meeting we each reviewed our peer’s part of the analysis. This week we are working to make corrections to our parts and complete the analysis report for Thursday. The document will go through Steve and Julie Moore for sign off. We have also asked Dr. Noah to review our work before submitting it has a final draft.

This week team flex has been extremely busy working on the next phase in the project. We are hoping to pull a Design Brief rough draft together by Thursday. Team Flex completed the Analysis Document last Friday, and has begun the final step, receiving feedback and sign offs. Each member of Team Flex received the document through email and made track changes. The documents were all sent back to the content manager for review, before sending them on to Steve, Julie Moore, and Dr. Noah. By Monday, we expect sign offs from Steve and Julie Moore. Due to an extended studio meeting our team meeting was cut short, but we were able to divvy up tasks for the upcoming week.

In the meeting we were able to decide on the various tasks that we would take on for the week. Among the things that should be written up in rough draft form by Thursday are: task analysis, learning objectives, return on investment, formative evaluation plan, and testing strategies. Each member of the team has partnered up with a consultant or another team member to get this rough draft written and ready for Thursday.

Team Flex finished up the Analysis Document last week and this week we received feedback from the client. Very little changes need to be made, so we are working to have it 100% complete by Thursday. As a team we decided that some changes needed to be made to our goals so these changes will be made in the analysis document and reviewed by Julie Moore.

Team Flex has really worked hard this week to get the design document pulled together. We had two meetings this week in order to pull content out of our manual for the development phase. In the meeting, we found that two of our goals ran together so we will be reworking the performance objectives and then gathering the content for development. The formative evaluation plan was completed along with the ROI.

Team Flex has decided to go ahead with the beginnings of the development stage because the flash animation will take up the majority of our time. Our first screen shot was finished and placed on our website for review. We are working to get approval from Julie Moore so that we can continue the development.

We did run across one problem as we discussed the design phase of our project. After mapping out all of the performance objectives we are estimating that the time to take the tutorial will increase. Julie Moore asked for a 20-30 minute tutorial for APO, but with the content that she has given us we will not be able to do it in less than 45-60 minutes. We will be going to her about this within the week to discuss a resolution to this problem. Until then, we will continue working on gathering the content that we will need for each performance objectives. Test Items have also been considered and are being created this week.

This week Team Flex held only one meeting on Thursday night to discuss matters dealing with the design phase. During the meeting we had to visitors, Candy and Kristen, join us from 6190.

 

As far as changes for the project, we have two major changes taking place. First, we are changing the scope of the project by lengthening the expected time to complete the tutorial. Our initial judgment of the time frame was estimated too low. This change will be discussed with Julie Moore on Monday. Also, we realized that two of our goals are very much alike so we have decided that it makes more since to combine them into one goal. That will also help with the organization of the tutorial.

After the meeting, we each took a goal from the design phase and we are working on pulling the content. Each team member will set up meetings with Bettina to discuss possible test items so that the expectations are feasible. As a team we will work on storyboards in the next weekend as well as review the content for the project. Our main goals for the week were to clean up the task analysis, work on the performance objectives for the combined goals, come up with practical test items, and pull content from the book. As a team we are still in the design phase, but the development phase has begun.

As far as the development, we have a screen shot that has already been reviewed by the client and will be edited accordingly. The next meeting we will focus on organizing the content and the delivery.

For Next week:

1. Confirm new scope with Julie Moore.
2. Work on combining goals and forming new performance objectives.
3. Continue working on the completion of design document.

This week Team Flex met twice ( Thursday and Monday). As a team we are working on extracting content or organizing it. This includes and outline of the content as well as the story board. We have successfully combined Goal 4 and Goal 5 because of overlapping content. These two goals will need to be revised in the Analysis document and sent to Julie Moore for approval. As a team, we also had to change the task analysis to fit the new goal. We worked on pulling content for goals 3 and 4. The content was then discussed as far as how the team will actually present it. We decided on the presentation of goal 3, so the team will begin development on this module. As soon as goal 4 content is extracted, the team will discuss its delivery and place it into a story board for development.

Team Flex will be working hard on goal 3 and 4 until we receive notification from JP that we need to work on goals 1 and 2. We are not sure whether these two goals have been completed yet. Regardless, goal 3 and 4 seem to be the most extensive and time consuming.

This past week was a very work intensive week for Team Flex. Our Thursday meeting was very content specific as we talked in depth about how we will present the content for Goals 1,2 and 4. Content has been organized for all of the goals and this week we concentrated on storyboards. The story boards for goals 3 and 4 were combined after our team discussed the similarity in the content. It was brought to our attention that the two should probably be combined so that when we present it, it is not placed in separate formats to create confusion. This storyboard and prototype are complete and ready for revisions. Within the next week all of the storyboards should be complete in their final draft and all of the modules will be ready for development.

We would also like to thank the 6190 participants who came in and joined our meeting. We had about 6 members come in and join us. Hopefully they learned something from the meeting.

Team Flex had a wonderful fall break. We were not able to meet on Thursday, but we did get back together on Monday. This week we got together with Julie Moore so she could look over the prototype we have for one of our modules. We have almost compiled all of the Design Document. The only thing needed for this document are the updated goals.

As for storyboards, we have completed storyboards for goals 1 and 2. We are still trying to get the storyboards together for goals 1 , 2, and 5. Bettina has asked us that we take the storyboards first to Julie Moore before we begin development on those prototypes. The flash required for the modules is difficult and time consuming so we are trying to get it as close to perfect as we can. Dr. Moore did give us some changes to be made on the prototype for the module covering goal 3 and 4, so we are trying to make these changes within the week.

Now is the time that we will ask the consultants to get involved. We are starting to need some work done that already has a skeleton created. Unfortunately we have lost one of our consultants but Saif and Willie are ready to work. Most of all, we are just trying to get caught up to our deadlines, we seem to have fallen back just a bit. This week will be a week of catching up for Team Flex.

Team Flex is falling behind just a little as we are still trying to get things perfect with our module 3. After talking to Julie Moore we got a lot of feedback about the module and many changes have to take place. The overall feel is that it looks good, but it is not being seen as professional enough. We also have to change some of our information to fit what Dr. Moore wants. In this week’s meeting, we focused on gathering the tasks that need to be finished to perfect module three while we are waiting for response on goals 1 and 2 storyboards. The amount to be finished is becoming a little overwhelming as we think about our time creeping away.

Overall, Julie Moore wrote us a list of changes and suggestions that she would like done on the module that we have sent to her. As far as continuing development, we are waiting for her feedback. The things left to finish as far as Module 3 are listed:

- Correct Grammar and reword informative paragraphs about each member
- add intros to each level
- change the second test item
- change the national level information to fit what she wants
- change bullets to align
- link the glossary given to us by Julie Moore

These are the tasks that we have taken away to complete by our next Thursday meeting.

Our design document was signed off by Dr. Moore and can be found on our project management site.

Team Flex has continued on...the following items are updates on our progress:
• Storyboards for Goals 1-4 are complete – everything looks ok.
• Storyboards have been approved, but we are still waiting on information to complete the storyboard for goal 5

The next major item on our to-do-list in the development document. The following will be worked on this week with hopes of completing a first draft by Thursday.

Team Flex is also working hard on Evaluation. The following are items that have been or need to be completed:
• Formative Evaluation Plan first draft finished and sent out for feedback.
• Need to compile feedback that we have received so far.

• Help button – site map completed just needs to be updated on module

Team Flex is working hard to finish up without getting distracted by the holiday. We are still waiting on content from Dr. Moore. She has told us that she will be getting us the introductory paragraphs we need.

As for the modules, we are still needing to complete the storyboard for Module 4. We need to update the contact information, link and directions.

This week we plan on asking saif to develop a form for the evaluation. This form will serve to collect the answers of those taking the surveys and sending it to the correct person for review. This person will most likely be the person making changes to the tutorial as needed.

  Team Flex is working on the final evaluation stage as well as getting the modules into their final form. Our team has worked to come up with our final questionnaires for our formative and summative evaluations although we have already done open ended formative evaluation.

As far as our client, we are waiting for Dr. Moore to give us introductory paragraphs for the modules. Once we have these our modules will be ready for review.

This week we will be working on evaluating the modules and looking to make sure the grammar/spelling is correct, the links work and the check for tutorial completeness.

As far as the development document, we are still waiting on a few items before the document is complete. As soon as we have compiled all of the storyboards, received the final flow chart and screen shots the development document should be ready for review. We plan to have this finished by Thursday.

Our consultants have been working hard for us in the end of the project. Saif is completing forms for our evaluation and Willie helped create the surveys we are using for evaluation.

Team Flex is getting to a stressful point as is every other team in 6210. We are in our evaluation phase and relying on feedback. So far we have gotten responses from three people, but we hope for more. Although we are running out of time, we would like to place the feedback we get and don’t have time to change in the extension proposal.

The following things are the things that Team flex needs to do:

-Email JM link to module for feedback from her and APO alumni volunteers
- Ask about intro paragraphs to each organizational level

Our client has signed off on reports and we are now trying to complete the evaluation report for the final compilation of documents.
